Job purpose
The Assistant Manager is responsible for supporting the Resource Manager in ensuring the functionality and productivity of their respective resource; to be a point of referral for the employees at their resource, practicum students, persons served, and stakeholders; to maintain a positive and professional attitude and promote health and wellness to all employees, persons served, and stakeholders.
Duties and responsibilities
Daily Expectations
As outlined in the Support Staff or Senior Staff job descriptions.
Any and all tasks delegated by the Resource Manager and Senior Management Team
Initiative, Independence, and Administrative Organization
Keeping person served documentation current including core files, core binders, medical frequency charts, appointment notes, incident reports, policies, daily notes, etc.
Ensures adequate budget maintenance.
Ensuring all administrative duties are kept up to date - responding to emails, booking and attending appointments, etc.
Is proactive in dealing with any scheduling issues at their resource – consulting with the Resource Manager and Scheduling Coordinator as needed.
Job Knowledge
Demonstrates an understanding of working with high-risk youth and complex trauma
Models appropriate methods for their employees - i.e. conflict resolution, risk management, person centered approaches, restitution, etc.
Interpersonal Relationships, Cooperation, and Positivity
Advocates on behalf of the person served to ensure that their needs are being met within the program – seeks integrated service planning from person served and other stakeholders.
Assists in mediating any interpersonal employee conflict at their resource as requested by their Resource Manager.
Responds positively and utilizes constructive feedback from coworkers and supervisors and incorporates it into their practice.
Creates a positive work environment for their co-workers.
Maintains exemplary professionalism.
Supervision and Training
Offers on-site training and support, supervision and feedback for employees.
Offers on-site training and support, supervision and feedback for practicum students.
Collaborates with training team to ensure adequate plan and support for on-boarding for new employees at their respective resource.
Point of Referral and Support
Provides support to the employees at their resource while on-shift.
Assists in troubleshooting issues at all resources and connecting with other managers.
Troubleshoots any scheduling issues that occur while on-shift for their resource.
Attendance and Flexibility
Shows up on time and for the duration of their shift.
Understands the importance of consistency in scheduling for our persons served.
Understands the need to be flexible in resource assignment to best support the agency.
Creativity and Goal Related Activities
Demonstrates creativity in working with our persons served and addressing any concerns at their resources.
Programming – plan, document, execute, and reflect on client-focused strength-based goal related activities.
Facilitates and guides employees in providing goal related activities.
Ensures documentation of goal related activities is always up to date.
Policy Awareness
Stays informed on all agency policy and procedures.
Ensures all resource specific policy and procedures are created, updated, and removed as needed.
Succession Planning
Plans for their employees to learn additional skills.
Plans for appropriate employees to learn different positions at their resource.
Self-Care Practices
Practices and models effective self-care both on and off-shift.
Qualifications
All applicants must be at least 19 years of age.
All applicants must have a reliable vehicle, valid driver’s license, and a cell phone.
All employee file requirements as outlined in the employment manual and as amended.
Additional experience or training considered assets:
Experience working with crisis management – working with individuals with extreme behaviors and/or mental health concerns.
Experience with the age range 10-18 years old.
Computer Skills - Microsoft word, Excel, Outlook, etc.
Experience with medication administration.
Experience in an administrative/managerial role.
Degree/Diploma in a related field – Child and Youth Care, Psychology, Education, etc.
Working conditions
This position requires the ability to work with challenging persons served with a wide range of behaviors and needs. This position also requires the ability to supervise and manage employees.
This position includes a full-time schedule made up of hourly and/or 24hour shifts, being on call certain days while not on site, and a potential to work on holidays and weekends. In British Columbia, managers are excluded from Parts 4 and 5 of the Employment Standards Act, which covers hours of work, overtime entitlements and statutory holiday pay.
Physical requirements
This position requires the employee to both sit and stand for long periods of time.
This position may also require the employee to go for long periods of time without regulated breaks.
